Before
your VIP Day
Before we even meet for your VIP Day, we lay the groundwork by getting a holistic overview of your current state. All the necessary details will be gathered via a questionnaire I'm sending you prior to our day so we can spend it most efficiently. You'll answer questions that help me prepare for your VIP Day. I also guide you to “empty your head” by submitting them via a simple intake form.
During
your VIP Day
On the day of, we move together through my signature 3C-framework (see details in the section below). We organize your submitted "items", finalize your thought inventory and put an intake and review system in place (maintenance, baby!). You’ll leave the day with your workflow set up, your following week planned out and all the knowledge and tools supplied you need to keep it going.
After
your VIP Day
After we say goodbye, I'll get busy wrapping everything up and you'll receive an email with all your deliverables within 24 hours. But that's not all: I stand by you for a 3-months period on an as-needed basis to help troubleshoot and hold you accountable to work your new workflow system.

CONSIDER

We start the day off by solidifying your calendar of choice as well as the filing of your physical and digital reference materials. After that, I’ll introduce you to a flowchart that lays out the capturing and organizing of “items” (e.g., thoughts, ideas, tasks, projects). We go over definitions of key terms and make sure you understand the general framework.

CONSTRUCT

Then, I show you your thought inventory in Airtable (the digital tool we’re using) with all of your “items” already pre-sorted into their respective categories. We’ll look at each item, add missing details, schedule out time-sensitive events and define your projects. Along the way, I teach you how to work with the system. After that, we move on to planning out your next 7 days by determining priorities.

CONNECT

Lastly, we determine your “inbox(es)” and set up your review system so that everything works together smoothly. We go over some general best practices and tips as well as your resource book contents. As a last step, I make you the owner of your personal Airtable and you can decide if you’d like to keep using it or switch over to a physical system.

Digital workflow management might not be for everyone, that’s why you have the option to transfer to a pen-to-paper method by way of the provided downloadables.

Initial set-up

A paper planner is a blank canvas and you need to know how to use it for it to work as intended. Since there is no dedicated person to guide you through the process on how to do it properly, the risk of “half-a**ing” or not completing it is there.

Your workflow design and maintenance system will only take 1 day to set up so you can start getting things done from the start. Since we’re working 1:1, you can be sure that it will actually be done.

Flexibility

Your planner provides you with space and a structure to write down your goals and more for the year. However, since it’s a printed book it doesn’t allow for much flexibility in terms of framework and space.

I will teach you a framework and set up your workflow accordingly. Yet, there is always room for tweaking certain aspects to accommodate your individual needs.

Methodology

A paper planner is often designed according to its author’s personal preferences without it being widely tested and refined on a larger sample size. While their uniquely personal method and way of planning might match yours 1:1, the likelihood of it is rather slim and thus you might fail to put the planner to use as intended.

The workflow we set up for you is informed by well-renowned methodologies such as David Allen’s Getting Things Done ® and the Kanban framework. Using widely tried and tested methods as a baseline elevates your success rate.

Tool(s)

A planner might be great for people who are die-hard pen-to-paper people. However, if you ever intend to switch to a digital planning version, you’re bound to look for something new entirely as most paper planners don’t come with a digital equivalent.

While we build your workflow in digital form via Airtable, you can also transfer everything into a physical pen-to-paper set-up if you prefer. To help with that, I provide you with tools like downloadable print-outs and layout visualizations.

Functionality

A planner often comes with add-ons like colored pens, stickers, symbols and other decor. While this might be a great motivator to start using a planner for the visually inclined or crafty person, all those bells and whistles could also distract from the real purpose of a planner: helping you get your life organized and work towards your goals productively.

You’ll leave the day with your workflow designed and ready to go. The priority is to have your brain clutter-free and for you to make progress on your projects with excitement without wasting time and getting distracted by non-essential doodads.

Accountability

If you buy a paper planner it’s essentially up to you to put it to use. This might work great for someone who is very intrinsically motivated and disciplined. But if you don’t have those traits, your planner may start gathering dust on your desk after one week of acquiring it.

Setting up your workflow and learning about how to implement it into your daily life is one thing. Following through with it is another. That’s why you get my support for several months after our day to make sure your new system gets integrated into your daily life seamlessly.

How much is the VIP Day?

It’s currently $1600 with everything included from preparation, the day of, deliverables, and 3-month follow-up support.

Do you have a payment plan?

You can choose to pay in two installments of $750. Please note that the date of your VIP Day will be secured after the full payment is received.

Do you help me set up a workflow design for my personal or my work life?

The Workflow Design VIP Day has originally been developed to help you set up a workflow for your personal life. However, it certainly can also be used to set up a workflow for your work life as well (it largely depends on the line of work you’re in and your overall work circumstances). If you’re interested in setting up a workflow for both personal and work, it might make sense to set up either a combined workflow (1 design) or a separate workflow for both personal and work (2 designs). The latter might require two separate VIP Days to set up. This will be determined on a case-by-case basis and thus we would talk about it more in depth on our intake call after you submit your application.

Will you also help me with my email inbox? It’s out of control!

While the VIP Day is not geared towards email management, I know that for your workflow system to function seamlessly, an organized email inbox is necessary. Thus, I provide you with a pre-recorded video tutorial ahead of our day in which I walk you through decluttering and organizing your email inbox. In it, I also show you how to achieve inbox zero every single day by implementing an email processing system. If you clean up your emails ahead of our day by following the tutorial, we can fully focus on designing your overall workflow system on the day of.

How long is the day?

We’ll spend about 6 hours together (plus breaks as needed), more or less.

Is the day in-person or virtual?

It’s virtual, conducted via Zoom video call.

Do I need to prepare in any way? / What do you need from me?

The only thing you need to do before we meet (virtually) is fill out a pre-work questionnaire and complete all the tasks associated with it (e.g., watch certain educational videos linked, submit “items” via an intake form, etc.). This can roughly take you from 2 to 5 hours. You’ll receive the pre-work 2 weeks before our scheduled VIP Day so have ample time to complete everything at your convenience.

What can I expect on the day of?

On the day of, we’ll move through the 3 different phases that I refer to as “Consider”, “Construct”, and “Connect”. Please refer to the section further above on this page for what each phase entails.

We’ll take breaks as needed and once we wrap up our call, you can lean back as I’m finishing up all your deliverables and email them to you within 24 hours.

Can another person (e.g., my partner / my assistant) participate as well?

No, at this time the VIP Day is designed to set up a thought inventory and workflow for ONE PERSON ONLY. If someone you know is interested in setting up their workflow as well, they would have to book their own VIP Day with me.

Will there be follow-up support?

Yes! You’ll receive 3 months email and call support on an as-needed basis (max. one 30-min. call per week).
